Timeline

First:

Call Ramapo for Children's Outreach Coordinator or Outreach Associate at 212-754-7003 in Ramapo's Manhattan office to schedule a program.

No more than 30 days after the program is booked:

  1. Return the signed invoice to the Manhattan office.
  2. Complete pre-assessment form and return to the Manhattan office.
  3. Send a 25% deposit or Purchase Order to the Rhinebeck campus.
  4. Fax a signed copy of Ramapo's Policies and Procedures to the Rhinebeck campus (845-876-8414).
  5. Fax your agency's certificate of insurance stating Ramapo as "additionally insured" (or insurance letter, for DOE schools) to Rhinebeck campus (845-876-8414).

Two-to-four weeks before the program:

Speak to Program Director or Assistant Program Director about:

  • Logistics
  • Ramapo expectations
  • Who are the participants of your program?
  • Who are the staff members of your program?
  • Your program goals
  • Activities
  • Ramapo Program Leader assigned to the retreat

Fourteen days before the program:

Confirm actual numbers and arrival/departure times with Rhinebeck or Manhattan office.

One-to-three weeks before the program:

  1. Speak with or email the Ramapo Program Leader to review information about the retreat and develop a schedule to meet your group's specific needs.
  2. Inform all accompanying staff and youth of Ramapo expectations.

One week before the program:

  1. Confirm housing assignments with Ramapo staff and send a list of room assignments.
  2. Confirm the number of small activity groups and have assignments prepared.

The day of the program:

  1. Send or bring balance due to the Rhinebeck campus.
  2. Call the Rhinebeck campus when you leave your site to confirm your arrival time and actual numbers at Ramapo.

Two-to-four weeks after the program:

Complete post-assessment survey which will be e-mailed to you.
